Roles & Responsibilities

• Schedule and coordinate outpatient surgical procedures for approximately 20 surgeons across multiple specialties, ensuring smooth daily operations
• Serve as the key liaison between surgeons’ offices, patients, anesthesia providers, and ASC clinical staff to keep everyone informed and aligned
• Manage schedule adjustments, cancellations, and same-day add-on cases while maintaining efficient patient flow
• Coordinate with anesthesia and nursing leadership to optimize daily case volume and room utilization
• Maintain accurate, up-to-date scheduling data within the ASC’s scheduling system
• Ensure all cases comply with ASC policies and accreditation/regulatory requirements (HIPAA, CMS, AAAHC/Joint Commission)
• Provide excellent customer service as the front-facing representative of the ASC, addressing patient questions and concerns with empathy and clarity
• Perform additional administrative and scheduling-related duties as assigned by the Business Office Manager or Administrator

Qualifications

• Experience in surgical or ASC scheduling, coordinating multiple providers and specialties
• Proficiency with ASC scheduling systems and strong data entry accuracy
• Working knowledge of HIPAA, CMS, and accreditation standards (AAAHC/Joint Commission)
• Excellent communication and coordination skills to interact with surgeons, clinical staff, and patients
• Ability to manage competing priorities, same-day add-ons, and changes with composure
• Customer-service focused mindset and professional demeanor

Education

• High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration or a related field preferred

Knowledge & Skills

• Strong scheduling and calendar management skills
• Familiarity with block utilization and optimizing room/case flow
• Patient coordination and front-desk/customer service experience
• Anesthesia coordination and nursing collaboration
• Regulatory and accreditation awareness (HIPAA, CMS, AAAHC, Joint Commission)
• Data management within scheduling software
• Good judgment and flexibility in a fast-paced outpatient surgical environment
• Attention to detail and accuracy in documentation
