Roles & Responsibilities

• Schedule and coordinate outpatient surgical procedures for approximately 20 surgeons across multiple specialties, ensuring efficient patient flow
• Serve as the primary liaison between surgeons’ offices, patients, anesthesia providers, and ASC clinical staff to keep the day running smoothly
• Ensure all cases are scheduled in accordance with ASC policies, block utilization, and surgeon availability
• Manage schedule adjustments, cancellations, and same-day add-ons while minimizing disruptions
• Coordinate with anesthesia and nursing leadership to optimize daily case volume and room utilization
• Maintain accurate and up-to-date scheduling data in the ASC scheduling system
• Ensure compliance with regulatory, accreditation, and confidentiality standards (HIPAA, CMS, AAAHC/Joint Commission)
• Provide excellent customer service as the front-facing representative of the ASC and support administrative tasks as assigned

Qualifications

• Proven experience in surgical or outpatient scheduling or related administrative healthcare role
• Familiarity with ASC scheduling systems and workflow best practices
• Working knowledge of HIPAA, CMS guidelines, and accreditation standards (AAAHC/Joint Commission)
• Excellent communication and customer service skills; comfortable interacting with surgeons, clinical staff, and patients
• Strong organizational skills, attention to detail, and ability to manage competing priorities
• Flexibility to handle variable hours based on surgical volume and occasional overtime

Education

• High school diploma or equivalent required; healthcare administration coursework or an associate degree preferred

Knowledge & Skills

• Surgical scheduling and outpatient scheduling processes
• Schedule coordination and patient flow management
• Use of ASC scheduling systems and electronic scheduling tools
• Regulatory compliance: HIPAA, CMS, AAAHC/Joint Commission standards
• Clear communication, customer service, and teamwork
